Our Role

Our Office Experience team is crucial in delivering the best office experience for both our guests and employees, and as one of our TWC Receptionist, it’s your role to support. To do this you’ll provide excellent customer service to all of our staff, guests and customers who visit the Head Office.

As part of your day-to-day duties you will be required to greet visitors, receive deliveries, and answer all calls ensuring that you are dealing with any issues in a timely and effective manner. You’ll also work on day-to-day administration task, deal with any ad hoc duties, and prepare the office for opening every day.

What youll be doing
  • You’ll liaise with colleagues at all levels in all departments as needed to maximise operational efficiency of reception
  • Work with our visual merchandising team to ensure high presentation standards of reception. As well as ensuring the areas are kept safe, clear, and tidy at all times
  • You’ll be greeting all visitors in a polite and professional manner and issuing them with a valid access card and ensuring they sign in and out
  • Welcoming all new starters in a friendly and approachable style and issue them with temporary access cards – which includes taking their photograph
  • You’ll be screening and redirecting as appropriate, all incoming calls, and emails into the office and reception inbox
  • Issuing and maintaining all access cards and the system which issues them
  • You’ll arranging refreshments for guest and meetings, ensuring requests are provided in a timely manner
  • You’ll be an appointed first aider and fire marshal and act as back up for the Office Experience Administrator
  • To own the courier (UK and International) and taxi booking process
  • You’re responsible for ordering employee flowers
  • You will also support the Office Experience Coordinator with other ad hoc orders where needed
  • You’ll liaise with the housekeeping staff, ensuring issues are reported to the housekeepers quickly and our office is kept clean
  • Escalating any feedback or concerns with Health and Safety, maintenance, and facilities directly to Office Experience Coordinator
  • Book all site deliveries and guests onto the building portal
  • Maintain a good working relationship with the building’s security, management and loading bay.
  • Run daily security reports
  • Securely opening the office daily, and ensuring all office opening tasks are completed
  • Any other ad-hoc duties request by your manager.
What skills & experience you’ll need
  • Intermediate to advanced level of Microsoft Word, Excel, PowerPoint and Outlook
  • Excellent written and verbal communication skills
  • Detail oriented and highly organised
  • Previous experience in a reception or customer-facing role
