Student Operations sits within the Student and Registry Services division and is responsible for the student record - its management and quality - as well as the principal functions supporting the student lifecycle (e.g. exams, timetabling, curriculum information). The directorate is also responsible for student statutory reporting to external stakeholders (e.g. HESA, OfS, GMC).
The Student Records team is responsible for the set up and maintenance of core records in Portico (SITS) that support the student lifecycle. The team is vital to ensuring that UCL’s obligations around its data integrity and management of academic standards are maintained as well as ensuring that programme records, students’ diets, and students’ achievements are accurately recorded and reported.
About the roleAn essential part of the team’s role is to work closely with faculties and departments to foster a collaborative approach to understand the academic work undertaken in these departments and how this affects the student records throughout their time at UCL.
The Student Records Officers will be responsible for the set up and maintenance of core records in Portico (SITS) that support the student lifecycle. The main duties will include: being responsible for student record and curriculum data-processing to ensure an accurate reflection of data on the Student Records system (SITS); working collaboratively and positively with contacts in other professional services, academic departments and faculties; assisting with enrolment, responding to queries, processing examination entries; working as part of a team in a flexible way to ensure the team meets its objectives and timescales.
In addition, the postholders would be expected to contribute ideas and suggestions on how to improve the team’s processes.
The team is success-oriented and enthusiastic in its approach to dealing with high volumes of queries whilst delivering an excellent service. We are looking for other proactive, quick learners to join the team.

About you
The successful candidates will have expert knowledge of the SITS student information system (or other equivalent student database system) from a user perspective and of the data configuration of the system around curriculum, student record keeping and use of the records system in a large multi-faculty university. They will be experienced in prioritising their workload to manage competing demands and will be able to demonstrate a proactive approach in identifying and solving problems with minimal supervision.
Excellent IT, written and spoken communication skills, together with a meticulous and organised approach to working with a high standard of accuracy, are key requirements of the role.
